Position Description

Position Title: OCC Resources Assistant
Department: Advancement
Reports to: Director of OCC Resources (indirectly to the OCC Resources Coordinator)

The mission of the OCC Resources Department is to train men and women for ministry and strengthen partnerships by providing mission-centric resources for churches, individuals, and organizations. Institutional Goals supported by Department: IG 4, 5

A. Summary

The OCC Resources Assistant provides essential administrative, clerical, and customer support to keep departmental operations running smoothly. This task-oriented role focuses on day-to-day execution, record-keeping, basic calendar support, and prompt customer service for OCC Academy and related resource initiatives.

B. Primary Duties and Responsibilities

1. Customer & Learner Support: Serve as the primary contact for OCC Academy, answer inquiries, mark completed exercises, troubleshoot basic user issues, and upload course materials as directed.

2. Financial & Administrative Tracking: Track and process departmental financial records, including invoices, expense reports, receipts, and income tracking.

3. Dashboard & Data Maintenance: Build, update, and maintain routine dashboard data and reporting spreadsheets for Resource Department initiatives.

4. Office & Logistics Support: Assist the Director and department team with scheduling, calendar maintenance, travel arrangements, meeting logistics, and routine correspondence.

C. Knowledge, Skills, and Abilities

1. Strong customer service focus with excellent written and verbal communication skills

2. High level of accuracy, attention to detail, and organizational skills

3. Ability to manage task lists effectively in a collaborative team setting

4. Proficiency in standard office productivity software (Microsoft Office and Google Workspace)

5. Ability or willingness to learn Learning Management Systems (LMS), CRM platforms, and task management software (e.g., Asana, Trello)

6. Dependable, solution-oriented approach to daily administrative responsibilities

D. Minimum Education and Experience Requirements

1. High school diploma or equivalent required

2. 1-2 years of experience in administrative, clerical, or customer service roles

E. Work Environment and Physical Requirements

This role includes the routine use of regular office equipment such as computers, telephone systems, and data systems. This role requires prolonged computer use, and the ideal candidate must be able to focus and concentrate on the screen with precision.
