About the Position

Position Description

Position Title: Marketing and Communications Administrative Assistant
Department: Marketing and Communications
Reports to: Vice President of Marketing and Communications

A. Summary

The Marketing and Communications Department Assistant provides administrative support for OCC’s marketing and communications strategies. This non-remote, part-time position works closely with the Vice President of Marketing and Communications.

B. Primary Duties and Responsibilities

· Meet with the Vice President of Marketing and Communications each week to discuss upcoming needs and projects

· Keep a close watch on upcoming deadlines, tasks, events, and meetings

· Print, cut, and laminate documents as needed

· Organize and schedule weekly chapel, Friday lunch, Monday Memo, and student newsletter announcements

· Manage and assign department tickets and tasks

· Help manage calendar and classroom items for the Vice President of Marketing and Communications

· Communicate with departments to keep them updated on the status of their projects

· Submit purchase requisitions for the Marketing and Communications Department

· Pick up and deliver print orders from local businesses to various campus departments

· Perform other duties as assigned

C. Knowledge, Skills, and Abilities

· Strong written and verbal communication skills, able to communicate clearly and professionally with college personnel, external constituents, and vendors

· High level of organization with physical and digital items

· High level of attention to detail for individual projects and a big-picture mindset for the overall marketing and communications strategies

· Able to project manage and follow through to keep tasks on schedule

· Able to complete work efficiently with minimal errors

· Strong working knowledge of basic computer programs, Google Drive, and Asana

· An optimistic approach to problem-solving and a collaborative team spirit

· High level of trust with confidential information

D. Minimum Education and Experience Requirements

· High school diploma or equivalent education required

· Administrative experience preferred

E. Work Environment and Physical Requirements

· Sit at a desk and focus on a computer screen daily and at length

· Lift, load, and unload heavy boxes of print items

· Travel across campus or across town to make deliveries
